This privacy policy describes our principles and approach to privacy, and we shall regularly review both the policy and the practices and procedures which are intended to ensure it is effective. Terminology Sphere of Influence Limited or “SOI” or “we” or “company” INTRODUCTION Sphere of Influence Limited is a training and facilitation company that works with many different types of business to assist them with growing their market share and leadership; improving relationships with their customers; and creating high performing teams. This involves running training courses, holding one-to-one coaching sessions, completing 360-degree profiles or other profiling assessments. We consider that the privacy of all data we hold is fundamental to the continued success of the company. We value our relationships with our clients, contacts and prospective clients and recognise that a failure to protect any of the data it holds would undermine those relationships, and we would fail to honour our obligations. Accordingly, Sphere of Influence Limited commits to implement this policy effectively and consistently. PERSONAL INFORMATION Contractual Requirements Where Sphere of Influence Limited provides services to any client organisation or individual, we shall have a contractual requirement to hold relevant information about those services. Besides holding the official contact details of individuals acting for the client, the nature of the services being provided may include consequential processing of personal information. Sphere of Influence Limited shall store and process data for as long as we provide the client with services, followed by an appropriate retention period following the cessation of any services. Additionally, we hold contact details for the attendees on the training courses we deliver and individuals who sign up for one-to-one coaching. This includes full name, job title, business email address, and where appropriate, business mobile phone or personal mobile phone numbers. Some participants also complete 360-degree profiles or other profiling assessments. These reports are also kept on file. They will not be shared with anyone without prior consent. When working with organisations who require us to facilitate their in-house material on their own sites, we are usually not required to collect or retain any personal details of the participants. The client organisation will sign up participants and organise communications for the learning intervention. Why do we need this data? Contact details are required so we can send out pre-work and questions relating to the training or coaching or any other information relating to the programme. Telephone contact details are required for phone conversations or messaging relating to the training or coaching. Assessments are kept on file only for the benefit of the participants, who may want to reference their papers at a later date. Who has access to this data?Access is limited to Debbie Fothergill and a very limited number of her Associates when working for and on behalf of Sphere of Influence Limited. All Associates work under NDA (non-disclosure agreements) and are forbidden to use or share any data beyond the work they are doing for and on behalf of Sphere of Influence Limited. No other parties will have access at any time, nor will your details ever be shared or sold. MARKETING COMMUNICATIONSSphere of Influence Limited may maintain a marketing database of professional individuals who have consented to our periodic correspondence. This database may include the name, telephone numbers, email address, professional relevance to us, and a record of the correspondence we have had with each person. These individuals may ask to inspect their personal contact details, correct them or unsubscribe from our communications at any time. The email address of individuals wanting to unsubscribe may be retained so that we know that they should never be contacted again. WEBSITE DATA COLLECTIONSphere of Influence Limited follows common practices by analysing website visits, using cookies, and storing data about each session and the device used. This data is anonymous and not correlated with any personal information. The purpose of gathering this information is to improve the content and design of our website, and not to profile individuals or capture any personal information. INFORMATION SECURITY MEASURESTo prevent unauthorised access, maintain data accuracy, and ensure the correct use of information, Sphere of Influence Limited has put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information collected online. We use every effort to safeguard the confidentiality of the collected data. However, no data transmission over the Internet can be guaranteed to be 100 per cent secure. As a result, we cannot fully ensure the security of any information that you send to Sphere of Influence Limited, or any information that you receive from Sphere of Influence Limited online, and such information that you send us is provided at your own risk. Once Sphere of Influence Limited receives your transmission, we use every effort to ensure security on our systems. RIGHTS OF THE INDIVIDUALIndividuals have a right to see any personal information that Sphere of Influence Limited may hold about them, and to ask that it is corrected if inaccurate, and even to ask that their personal information is deleted. Any person wishing to exercise these rights should make a formal written ‘subject access request’ to the address at the end of this policy. In some circumstances, Sphere of Influence Limited may be obliged to keep records even after an individual has requested that it is deleted. However, this would be unusual, and we would delete any such information as soon as our obligation has expired. We cannot respond to requests for personal information made by email, because we cannot ensure the privacy of the communication, so requests of this type must be made by post. NO SHARINGSphere of Influence Limited shall not share, disclose or move personal information to any other person or organisation. If we find a good reason to work together with any other organisation in the future, we will let you know our plans and ask for your approval before sharing your information. Where disclosure of personal data is required by a court of law, or other similar authority, we shall honour the law of the land. POLICY CHANGESphere of Influence Limited may change this Privacy Policy from time to time. This may be to improve clarity, communication, or to reflect changes we have made to our privacy practices.
